The "Deductions" tab allows you to customize the number of unpaid / non-billed break times according to the request type and the shift duration.

The shifts added to the requests can have a deduction entered automatically according to the information of the shift added to the request. This function aims to improve the speed of data entry, but does not prevent the user, if necessary, to change the value of the deducted hours (unpaid / non-billed) in the input of the request. In the example below, we will configure an automatic deduction of 1 hour for all shifts exceeding 5 hours.

Use steps

  1. Click on the "Settings" tab.
  2. Select the "Deductions" sub-tab.
  3. Click in the "Automated deduction parameters" grid to register a new entry.
  4. We will leave the 3 types of quarters checked. (Night, Day, Evening)
  5. Now enter a threshold of 5:00 (number of hours worked), as well as the deduction of 1:00.
  6. Click on (Save).
  7. For the purpose of this example, we will enter a second threshold: for 8:00 hours shifts, we will deduct 1:30 from unpaid / non-billed time.
  8. When creating a request (either a replacement, a mandate or a position), the value of the deduction will be entered by default when inserting a schedule entry.
  9. Despite the automatic entry of the "Deduction" field, the user can still modify the value if necessary.
  10. The icon can be used at any time to recalculate the default deduction of the entry based on the current values of the "Start" and "End" fields In this example, let's change the "Start" time to 12:00. In this way, using the "refresh deduction" button will change the "Deduction" value for 1:00 (depending on the configuration in step 5, the 5-hour shifts worked should be deducted from 1 hour).

Four types of exceptions to the default deduction can be configured.

  • For one department and for one request type
  • For one department and for many request types
  • For all the departments and for un request type
  • For all the departments and for many request types

Pour ajouter un département spécifique aux exceptions, au minimum un département doit être configuré dans le sous-onglet « Demandes ».

Use steps

  1. We previously configured two departments for this client.
  2. Click on the "Settings" tab.
  3. Select the "Deductions" sub-tab.
  4. First select a deduction entry to which you want to add an exception. The selected entry will contain light gray fields.
  5. Click on a white line or on the icon in the "Exceptions" section below to add a new item to the list.
  6. Select a specific department and then a new deduction value for the exception. In this example we will select the "Emergency" department. As we selected the 8 hours shift for Night / Day / Evening in step 4, we will adjust an exception to this entry. When the 8 hours shift or more is entered for the "Emergency" department, we will deduct 1:45 (instead of 1:30).
  7. Now choose for which type of request you want to apply the exception in the grid on the right.

    * If the exception only takes into account the "department" and applies to all "types", you must insert all types in the right grid by checking the first choice "Applied to types of requests".

  8. Click on (Save).
  9. Now let's see the effect when creating a grouped replacement request for the “Nurse (Cardiology)” type having the “Emergency” department by default for an 8-hour shift.
  10. Despite the automatic entry of the "Deduction" field, the user can still modify the value if necessary.
  11. The icon can be used at any time to recalculate the default deduction of the entry based on the current values of the "Start" and "End" fields. In this example, we have changed the "Deduction" field to 0:45. In this way, the use of the "refresh deduction" button will change the "Deduction" value to 1:45 (depending on the configuration of the exception in step 6 and 7, requests of type "Nurse (Cardiology ) "Having a quarter of 8 hours and more should be deducted from 1: 45hour).

The orange color will appear in the background of the deduction value throughout the application where the deduction entered differs from the configuration of the client profile.

In the case of an existing grouped replacement, the orange color will appear if the replacement has a deduction value different from the schedule entered in the grouped replacement.

Use steps

  1. Click on the "Settings" tab.
  2. Select the "Deductions" sub-tab.
  3. Click in the "Settings for automated deductions" grid to register a new entry.
  4. We will leave the 3 types of quarters checked. (Night, Day, Evening)
  5. Entrez maintenant un seuil de 5h00 (nombre d'heures travaillées), ainsi que la déduction de 1h00.
  6. Click on (Save).
  7. Navigate under the "Add batch requests" module to create a replacement for the client whose default deduction has been set.
  8. Make sure you create a replacement of a duration of 5 hours with a deduction of 1:30 to make sure the value is different from the configuration entered earlier in the client profile. (1:00).
  9. Note that the cell color is orange indicating to the user that the value differs from the configuration of the client profile.
  10. Now press the icon in order to load the value configured in the customer profile.
  11. Note that the cell is no longer orange as the deduction is now equal to the configuration of the client profile.
