1.In Home ribbon of the window, click on (Send an email or SMS), select "Send email", then select one of the proposed template if applicabple, or slect "Send email" again.

2.The "Sending of the message" window is displayed.

3.If a default template is selected in the quick send list associated to the communication context, you will be positioned directly under the "Individual preview before sending" tab. Make sure that the content of the message and the recipients are appropriate. Check or uncheck recipients as needed and go to step 6 below.

With a template

4.In Message template tab, click on . A list of choices will be displayed for you to select the proper template. Once selected, if you want to edit the template for all recipients, you can do so in the text edition area.

5.Go to tab "Individual preview before sending” and make sure that the content of the message and the recipients are appropriate. Check or uncheck recipients as needed.

6.To modify the text for a specific recipient, select the recipient and, click on , the editing area and formatting tools will become available.

This button offers editing options for the recipient selected only. To make changes for all recipients, rather go back to the "Message template" tab to edit the template for all recipients.

7.Before you send the email, make sure to select the proper settings regarding access and the communication security group associated to the email, as well as the user profile (email address) used to send, if it should be different than the default user profile.  

8.Click on to send the message.

You can click on to delete the selected template if you prefer to write a new email under the "Message template" tab.

Without template

9. In the Message template tab, add a subject in the field Email subject.

10. In the editing section, write your message for all recipients, then go to tab Preview before sending. Refer to steps 6 to 8 above to finalize and send your email.  

In the example below, a shift proposal email will be sent to many recipients. An email template has been configured for this communication context in the quick access list, so you will not have to select it and the message will be sent in the candidate's language of correspondence.

1.Choose a request from the Shift  or Shift management window. In our example, we used the Shift management window.  

2.Make sure the planner is displayed. If not, launch it from the Display ribbon.  

3.In the planner, tick a few or all candidates.  

4.In Communications section of the Home ribbon, click on (Send an email or SMS) and choose the template for shift proposal to candidates.  

5.In Message template tab, choose a language, the message will be displayed in this language, allowing you to validate the content.

6.Move to Preview before sending tab.

Presence of the icon may mean two things : either the contact doesn't have an email address, or the email template doesn't exist in t the recipient.'s language. ns la langue du destinataire. Hover with your cusor to read the error message  and take appropriate action. If the email template doesn't exist in the recipient's language, it is recommended to update the relevant template in Message templates management window.

7.Select  a recipient. The variables used in the template have been replaced by the related values in the corresponding language of the contact.

8.If necessary, for each contact, click on to switch to edit mode and modify the message.

9.Click on .

It is possible to attach documents to an email sent by PRIM. There is 3 document types that you can attach:

•A report generated by PRIM: allows attachment of a report generated by PRIM. Available reports will vary depending on the communication context. The report will be displayed in the language or the message and recipient.

•A file from your computer: attach a document from your computer, making sure it is in the right language.

•A file from "Document management" in PRIM: allows you to add a document available in the contact's file.  This option will only be available for customized attachements for a specific contact in Preview before sending tab (see step 6).

1.In Communication section of Home ribbon, click on (Send an email or SMS), choose Send email. The window "Sending of the messages" is displayed.

2.In Message template tab, write your message in a first language, and to add an attachment fro all recipient in this language, click on (Add an attachment). A window pops-up allowing you to choose the file type to be attached.  

3.If required, repeat the above step for all relevant languages.  

4.To remove an attachment, select the file to be removed in the template of the relevant language and click on (Delete an attachment).

5.Switch to Preview before sending tab, verify the recipients and other options.  

6.As required, if personalized attachments should be added for some specific recipients, select the recipient, click on and add the relevant attachments for this recipient.  

7.Click on .

If you insert attachments under the first tab, "Message template", and the message is sent to several contacts, all contact to whom the message is addressed will receive the same attachment, except for a PRIM generated report will be personalized for each recipient. A different document must be added in each language of the template (document in the proper language), including reports generated by PRIM, although the document will be the same in this specific situation.  

If you add an attachment under the second tab, "Preview before sending", only the selected contact will receive the attached file. In this situation, you can customize the attachments for each contact. To do so, click on after selecting the contact.

The process to forward an email or reply to it is only possible for emails received in PRIM.  

If needed,  apply the process for Email synchronization

1.Open the file of the contact for whom you want to follow-up by email.

2. In Communication section of Home ribbon, click on (Communication history)  to launch the  "Communication history" window.

3.From the list, select the message among emails with icon (email received), click on on the line of the selected message and choose the appropriate option (Reply or Forward).

If you select an email with icon (Email sent) in "Communication history", you will only have the option to forward the email.

You can also double-click on the message to open it, then on in the top right corner of the message's window to choose the option (Reply or forward).

4.The window "Sending of the message" is displayed, allowing you to edit the message. By default, the message is displayed in the tab Preview before sending. Click on to write the message for the selected recipient, or switch to Message template tab to write it for all recipients at once.

5.Once you have written the message, from tab Preview before sending, click on (Send email).
