Export

PRIM allows you to export your data as required, either to another system or to an Excel file.

 

What is a data export?

In PRIM, exporting means selecting data, such as a list of candidates, and transferring it to another program or Excel file.

This can be useful if you want to display your data in tabular form, share it with other users who don't have access to PRIM, or transfer it to another system.

Data can be exported in different ways and for different purposes, and depending on the objective, there are different types of export. Different windows are used for each type of export. Export templates and transfer and export protocols can also be used to structure the export.

 

 

What is an export template? 

A template is a canvas containing all the fields of a data list that you wish to export on a recurring basis. Depending on the type of export, it will be created in the DIE007 window (on-screen data export), or in the Export Templates (CFG006) configuration pane (for accounting transfer or export to another system).

 

What is an export transfer protocol? 

An export transfer protocol is a communication protocol used for interaction between PRIM and external platforms. The technical details of the protocol and the values specified in it must correspond to the information specified by the API service provider of the external application for which the protocol is configured. These are configured in the Export transfer protocols (CFG009) configuration pane.

 

 

Export types

 

PRIM offers three ways of exporting your data: on-screen data export, export to another system and accounting transfer.

 

On-screen data export:

The simplest and most accessible type of export: export to an Excel or PDF file.

No export template required, but it is possible to create a file template directly in the export window, rather than in the export template configuration window.

No export protocol required: this is automatically a file transfer.

The DIE007 window is used to configure the transfer.

 

Export to another system :

An export template is required - the template usually depends on the system being exported to.

A export transfer protocol is required.

Accessible only in some windows (client, candidate, shift) as well as in search results and saved and programmed lists concerning these entities.

The DIE001 window is used to configure the transfer.

 

Accounting transfer 

Technically, this is an export to other systems (accounting systems), but for a well-defined purpose, with only three types of data: invoices, payroll (timesheets) and cash receipts. Generally used to transfer payroll data to the payroll system or other accounting data to the accounting system. Accounting transfer configuration is a project aimed at more complete integration of the two systems, with recurring transfers.

Easily accessible via the accounting transfers window.

An export template is required, depending on the type of data and the software to which you are exporting.

A transfer and export protocol is required.

In addition to the export template and protocol, it is necessary to map the codes used in PRIM to those used in the other system. This is done in the Transfer Codes configuration pane (CFG007). to match PRIM codes to those of the accounting system concerned.

The DIE003 window is used for accounting transfers.
 
Unlike "standard" exports to another system, exported data is then locked in PRIM to prevent any changes or discrepancies in data between the two systems. If these need to be corrected, good practice would therefore be to create a patch, which is then also exported to the accounting system. For example, for an over-invoicing error on an invoice already exported, we would issue a credit, which would also be exported to the accounting system, rather than correcting the invoice.
