Adding restrictions in a window

PRIM allows you to manage security more precisely, including to control access to some items in the window.

Only users in the "ADMIN" security group will have access to this window.

The procedure for adding restrictions is the same for all types of elements found in the "Security Settings" window. Some items will display different types of restrictions, while others will not allow restrictions to be added.

There are two types of windows in PRIM, so there are two ways to launch the "Translation and security" window.

1.Windows with controls included in ribbons: click on Actions, then on Window's security setting. The window will be launched as a nested pane to the left of the window.

2.Windows without any controls or ribbon: press CTRL + Alt + S. The window will be a standalone floating window.

It is possible to add a restriction on some items, but not all of them, and the restriction types available will depend on the type of item. To locate an item to which you want to a add a restriction, you may simply click on the field or item in the main window to be directed to the proper item in the list of the Translation an security window.

It is possible to add restrictions to one or more security groups. However, it is important to note that as soon as a user has a security group in his/her profile, the restriction will be applied, no matter which other security groups are added to the user. If you want to add a restriction that will not be applied to all user included in a security group, it is best to create a separate security group containing only the restrictions that will be added to the concerned users.

LINE GROUP	Title or label for a section of a window, such has the area for a specific contact information type (address, email addresses, phone numbers, etc.)	No restriction possible

PANEL	Available under CATEGORY. Refers to each section of a ribbon.	No restriction possible

TAB	Allows access to different tabs in a window. Example: Billing tab of the Client window.	Hide check box. In some cases, the tab will not be visible anymore, while it may sometimes still be visible, but grayed out and not accessible.
TABLE	Organized data set. Example : Email table in the Candidate window, for emails of the candidate.	Check boxes : Hide, Update, Insertion, Deletion, Exportation. Restrictions on a table might have various effects. It is often preferable to apply restrictions to items inside the table, or to the tab providing access to these data.
BUTTON	Control that allows the execution of an action or opening of a window or pane. Example: Unassign button in a shift.	Single check box: Hide. Buttons in the "Display" ribbon and other buttons lauching a window or pane: Although the option is available, the restriction does not work.Access to the windows is managed in the security groups.
RADIO BUTTONS	Control used to allow selection between various options, such as a shift type (day, evening, night). The control is only used to set up a default value.	No restriction possible. To add a restriction to one specific item/value and prevent selection, the restriction must be added to the matching FIELD for the option.
FIELD	Item in a table. Could be a field, a check box, a column header, etc. Restriction example: hide the paid or billed rate to user in some security groups, hide the candidate's social insurance number, etc.	Visual, with various options for modification prevention depending on the context.

Restrictions types

There is several types of restrictions taht can be applied, and the available options will depend on the type of item on which you want to apply the restriction.

			Masked	Always	Data will be replaced by ******. Restriction to modification is always applied.
				Except when no value	Allows the user to modify data when there is no value. Restriction is applied as soon as the user leaves the control. Data will be replaced by ******.
				Except at creation	Allows the user to modify data at creation only. Restriction is applied as soon as the user leaves the control. Data will be replaced by ******.
			Hidden	Always	Restriction to modification is always applied. The field will not be visible at all in the window.
BUTTON	Hide	Block use of the function.	S.O	S.O	The restriction may work only on some items, and may not work it the button is used to launch a window or pane. In such a case, to prevent opening of the window or pane, you should rather manage access in the concerned security groups. Furthermore, in some cases, the button will be grayed out ans will not work, and sometimes it may be completely hidden.
TAB	Hide	Hide a tab, or prevent access.	S.O	S.O	The tab will sometimes be completely hidden (Client > Settings), while sometimes it might be only grayed out and not accessible (Preferences).
TABLE	Hide	Prevent access and modification to data included in a table.	S.O	S.O	All the data pertaining to the table will not be visible anymore for the users with the restriction. This will also have the effect to tick all other check boxes. Furthermore, ticking all other check boxes will have the same effect.
	Update	Prevent modification or update of any item in the table.	S.O	S.O	Prevents modifications to existing data, but allows deletion of data or new data insertion. Ex : Table Contact - email in a Client window. It will be possible to add or delete an email address, but not to edit the ones that have been added.
	Insertion	Prevent addition of an item in the table.	S.O	S.O	Prevent insertion of new data, but without blocking the modification or deletion of existing data. Ex.: Table Contact - email in a Client window - it will be possible to modify or delete an existing email address, but not to add a new one.
	Deletion	Prevent deletion of an item in the table.	S.O	S.O	Prevent deletion of data in the table. Ex.: Table Contact - email in a Client window, it will not be possible to delete existing email addresses.
	Exportation	Prevent exportation of data to Excel	S.O	S.O	Prevent exportation of data in a table. For example, if ticked on the table Invoices, it will not be possible for user to export the invoices. The Export button will be grayed out.

Fields and "visal" type restrictions

In the example below, some restrictions will be added to the Candidate window in order to prevent the group "Dispatch" to see and edit the candidate's social insurance number (SIN). .

1.Open a Candidate window, and from Action menu, click on Window's security setting. The Translation and security (SEC019) pane is launched.

2. In the list of items, or in the candidate window, locate and select the item to which you want to apply a restriction. In this case, it's the S.I.N. field.

Fields are usually located inside a table. In this case, the field is in the "Candidate" table. To easily locate a fiels, just click in it in the main window, and the proper entry should be selected in the list. Otherwise, click on "+" to expand the corresponding table (a) and locate the field(s) under the table.

3.Go to the Restrictions tab.

4.Under the Visual column, select the visual restriction to be applied. For our example, we selected Masked. Refer to the above table for more details on each restriction type.

5.Under the column Prevent changes, select the desired restriction for changes in the field. Refer to the above table for more details on other available options.

6.Click on in the Translation and security pane to save your changes.

7.In the Groups section, click on an empty line. In the window that pops up, tick one or more security group(s) to which you want to apply the restriction and click on OK. For the example, we added the Dispatch group.

8.Click again on (6) in the Translation and security pane to save your changes. The restrictions will be applied the next time PRIM is launched.

The data entered in the S.I.N field will be replaced by ********* and will not be editable anymore by the users of Dispatch security group.

A tab

In the example below, a restriction will be applied to the Payroll management window to limit access to the Requests to pay tab.

1.Open the Payroll management window. The Requests to pay tab is accessible.

2.From the Action menu, click on Window's security setting. The Translation and security (SEC019) pane is launched.

3.In the Elements section, select the Requests to pay tab.

Tabs are usually at the top of the list. To locate a tab easily, just click on it in the window, and the proper item is selected in the list.

4.Go to the Restrictions tab.

5.Tick the check box in the Hide column to block access to this tab.

6.Click on in the Translation and security pane to save your changes..

8.Click again on (6) in the Translation and security pane to save your changes. The restrictions will be applied the next time PRIM is launched.

The tab Requests to pay is not available anymore for the security group added!

A table

Restrictions on tables might sometimes not work as expected, depending on the table. In many cases, it will preferable to add restrictions on items in the table (such as fields), or to the section providing access to these items (such as a tab).

In the example below, a restriction will be applied to the Contact - email table of the Client window for the Dispatch security group.

1.Open the Client window. From the Action menu, click on Window's security setting. The Translation and security (SEC019) pane is launched.

2.In the Elements section, select the relevant table. Here we selected TABLE: Contact - email

3.Go to Restrictions tab.

4.Depending on the desired result, tick the proper check boxes. Refer to the above table on restriction types for more details on the effect of each option.

5.Click on in the Translation and security pane to save your changes.

6.In the Groups section, click on an empty line. In the window that pops up, tick one or more security group(s) to which you want to apply the restriction and click on OK. For the example, we added the Dispatch group.

7.Click again on (5) in the Translation and security pane to save your changes. The restrictions will be applied the next time PRIM is launched.

Users of the Dispatch security group will not be able anymore to delete an email from the Contact tab of the Client window.
